Job Title: Accounts Clerk

Company Overview: Parnis England is a prominent road haulage company dedicated to delivering reliable transportation solutions Europe/Malta/Europe with a commitment to efficiency and customer satisfaction, we are seeking a highly organized and proactive individual to join our team as an Operations Assistant.

Position Summary: We are looking for an individual with attention to detail who has a passion for numbers to join our Finance team as an Accounts Clerk. Reporting to the Financial Controller , he/she, will be taking care of various responsibilities related to the normal day-to-day accounting activities.

Key Responsibilities:

  1. Posting of Purchase Invoices and Credit Notes.
  2. Reconciliation of Creditor Statements.
  3. Allocation of Debtor Payments.
  4. Preparation of Debtor Payments Bank Deposits.
  5. Reconciliation of Cash Sheets from Commercial Departments containing cash/cheques and expenses, and allocation of same debtor cash/cheque payments.
  6. Chasing of Debtors for payments by sending statements and follow-ups by communication via e-mails and/or phone calls.
  7. Checking of profit and loss on individual voyages/transactions, it being an Internal Audit.
  8. Helping the Accountant in issuing sales invoice re Ship Registration Companies.
  9. Any ad hoc office duties relating to accounts.

Qualifications:

  • High school diploma or equivalent; additional education in accounting is a plus.
  • Good knowledge of Microsoft Office suit – Excel, Word and Outlook
  • Knowledge of English, and preferably Maltese as well.
  • Previous experience in the road haulage or transportation industry is desirable.
  • Strong organizational and multitasking abilities.
  • Excellent communication skills, both written and verbal.

Operations Assistant (Road Haulage)

Position Summary: The Operations Assistant will be an integral part of our road haulage operations, contributing to the smooth functioning of transportation activities. This role demands strong organizational skills, attention to detail, and effective communication to ensure the timely and secure delivery of goods. The ideal candidate will have a keen interest in the logistics and transportation industry.

Key Responsibilities:

  1. Route Planning and Optimization:
    • Collaborate with the dispatch team and drivers to plan efficient and cost-effective delivery routes.
    • Optimize routes to minimize fuel consumption and transportation costs.
    • Assist in management of groupage warehouse
  2. Order Coordination:
    • Receive and process customer orders for transportation services.
    • Coordinate with customers to confirm shipment details, including delivery times and special requirements.
  3. Fleet Management:
    • Assist in managing the scheduling and maintenance of the fleet.
    • Monitor vehicle availability and coordinate with drivers to ensure on-time departures.
  4. Documentation and Compliance:
    • Ensure all necessary documentation, including shipping manifests and permits, are prepared accurately.
    • Stay updated on transportation regulations and ensure compliance with relevant laws.
  5. Communication with Drivers:
    • Serve as a liaison between the operations team and drivers.
    • Communicate route changes, delivery instructions, and any other relevant information to drivers.
  6. Issue Resolution:
    • Address and resolve any issues or delays that may arise during transportation.
    • Coordinate with drivers and other relevant parties to find timely solutions.
  7. Customer Service:
    • Act as a point of contact for customers regarding delivery inquiries and updates.
    • Provide excellent customer service to enhance client satisfaction.

Qualifications:

  • High school diploma or equivalent; additional education in logistics or a related field is a plus.
  • Knowledge of English, Maltese and Italian
  • Previous experience in the road haulage or transportation industry is desirable.
  • Proficient in using transportation management software and route optimization tools.
  • Strong organizational and multitasking abilities.
  • Excellent communication skills, both written and verbal.
  • Knowledge of relevant transportation regulations and compliance requirements.
